From Sample Approval to Arrival: Close the Gaps in a Furniture Order
Control the approved configuration, pre-shipment checks, named delivery point and receiving process instead of treating dispatch as project completion.

Dispatch is a milestone, not the finish line
A furniture order can leave the factory on time and still arrive at a hotel without the information needed to put it into service. The configuration may be unclear, accessories may be difficult to identify, or the receiving team may not know which cartons belong to each zone.
A better delivery plan connects sample approval, production specification, pre-shipment review, transport scope and site receiving. Each handover should pass on both goods and usable information. The buyer should know what must be confirmed before moving to the next stage.
Turn the approved sample into an order record
List the model, quantity, configuration, dimensions, materials, finishes and included parts. Identify the approved sample or reference and record agreed deviations. Keep a clear process for approving substitutions, especially where they change construction, appearance or packing.
SUNNY Furniture supports customization across sizes, materials, colors and configurations. That flexibility makes an accurate order record important. A model number is a helpful starting point, but the agreed custom configuration should remain attached to it throughout production, inspection and packing.
Define what the pre-shipment review will check
Agree the checks relevant to the actual order: item identity and quantity, dimensions, visible finish, included components, applicable function checks, packing and labels. Define the sampling or inspection arrangement and how identified issues will be closed before shipment.
Ask for a packing list that maps cartons to models and components, with the agreed dimensions and weights. Photographs can support the record but do not establish every concealed characteristic or replace required documents. Keep reports and certificates connected to the product scope for which they were issued.
Write the delivery point and trade rule precisely
The ICC's Incoterms guidance distinguishes delivery, risk and costs. Specify the agreed rule, version and named place or port rather than using three letters without context. Its selection guidance directs buyers toward FCA for containerized or multimodal handover, while FOB and CIF belong to sea or inland-waterway arrangements with different delivery mechanics.
CIF includes a seller insurance obligation, but paying freight does not mean risk only transfers on arrival. DDP includes seller responsibility for import clearance and duties. Review the exact responsibilities with the parties handling the shipment, including any tasks the hotel must arrange at destination.
Separate dispatch timing from arrival planning
SUNNY Furniture's FAQ states samples within seven days and bulk dispatch within 22 days, counted from receipt of the deposit. Dispatch is not a guaranteed arrival date. Confirm the quoted production milestone, the final configuration and the separate transport and receiving arrangements for the order.
The FAQ also uses DDU in its commercial terms list. ICC removed DDU from the 2010 rules; where that shorthand is used, clarify the intended responsibilities and confirm the agreed rule and version in writing. Do not silently treat a legacy label as a complete current delivery agreement.
Make the final handover useful to operations
Before delivery, assign responsibility for unloading, checking carton identity and condition, recording shortages or damage, storing components and coordinating any assembly. Confirm the reporting process and retain evidence in the form required by the relevant supplier, carrier and insurer arrangements.
At handover, give the property the model schedule, approved configuration, applicable care instructions and spare-part references. Keep the acceptance status clear so unresolved items are not lost between teams. A professional order is complete when the goods and the information can support the property's work, not merely when a container has been dispatched.
